Draft a Mail to Inform:

Writing is an interesting form of communicating because the person will not be present when the information is communicated. We must remember a fact that expressions are not seen by the reader. So, the information must be simple, precise and correct to pass the right information.

We need to follow some guidelines while writing a person to inform. In modern days we draft mails a lot instead of a letter.

Whether it is a letter or a mail we need to follow a standard format while drafting the information which is given below:

Salutation

Subject

Body

Thanking and Signature

Since many of us regularly write mails, we would like to show a proper mail format for the students to follow:

To – Write the mail id of the main person (Recipient of the mail)

CC – Write the mail id of another person (A copy of the same mail will be sent to another person with the knowledge of the main person)

Bcc – Write the mail id of another person (A copy of the same mail will be sent to another person without the knowledge of the first person)

Subject – Write the title of the information (Example: Regarding Resume Modification)

Mail Box – Start with a salutation like Dear Mr.Raghu Sir if you are writing the mail for the first time and Dear Sir if you are writing for the second time and Dear Raghu if the person has become very close to you.

Write the mail: Start with a capital letter and introduce you to the person and request for services. Write the body in paragraphs.

 

Thanking and Signature – At the end, thank the person for giving this opportunity and write your wishes to him and your name and contact number.
